What's on a hvac receipt
These are the fields a hvac receipt is expected to show — the same ones filled in on the sample above. For a plain-English definition of any receipt field, see the Receipt Field Dictionary.
- Business and license number
- Your trading name, phone number and, where your state licenses HVAC contractors, your license number.
- Customer and service address
- Who is billed and where the equipment is.
- Equipment serviced
- Make, model and, ideally, serial number of the unit. Manufacturer warranty claims are made by serial number.
- Labor
- Hours and rate, or a flat charge, on its own line.
- Parts
- Each part with quantity and price, separate from labor.
- Refrigerant
- Type and amount added, for example R-410A by the pound, on its own line.
- Invoice number
- A number in a sequence you control, so a payment can be matched to the job and no number is used twice.
- Issue date and due date
- When the invoice was sent and when payment is due. 'Net 15' or 'due on receipt' belongs on the same line as the date it produces.
- Amount due
- The total relabelled as the amount the customer owes. Once paid, change it to show the amount received and mark the document paid.
How to make a hvac receipt
- Enter your business name, phone number and license number.
- Add the customer, the billing address and the service address.
- Record the equipment's make, model and serial number.
- List labor, each part and any refrigerant as separate lines.
- Set the invoice number, issue date, due date and terms, then download and send it. Mark it paid when the customer pays.

Why refrigerant gets its own line
Refrigerant is often the most questioned charge on an HVAC bill, so show the type and amount added rather than folding it into labor. Handling it is regulated: under EPA Section 608 (opens in a new tab) technicians who maintain, service or repair equipment that could release refrigerants must be certified, which is why many contractors print the technician's certification on the invoice.
Record the serial number
Manufacturer warranties on compressors, coils and furnaces are claimed by serial number, and the claim usually asks for proof of the service. An invoice that names the unit and what was done to it is that proof, for you and for the customer.
