Rent receipts: what to get right
When a landlord has to give a receipt
Whether a rent receipt is optional depends on where the property is — and in several states it is not optional at all. California is the broadest: Civil Code § 1499 (opens in a new tab) entitles anyone paying money to a receipt from the person who accepts it. New York is specific to rent — under Real Property Law § 235-e (opens in a new tab) a landlord must give a written receipt whenever rent is paid by any means other than the tenant's own personal check, and the statute sets out what that receipt has to state.
Washington ties the duty to cash: RCW 59.18.063 (opens in a new tab) requires a receipt for any payment made in cash, and on request for other payment methods. Massachusetts covers the money a tenant hands over at the start of a tenancy — G.L. c.186 § 15B (opens in a new tab) governs the receipt for a security deposit or last month's rent, down to what it has to contain.
Those four are examples, not the full picture. Rules differ by state and sometimes by city, and the one that binds you is the one where the property sits — not where either party lives. Look yours up before assuming a receipt is a courtesy.
Why cash rent is the case that matters
A bank transfer or a cheque leaves a record on both sides without anyone doing anything. Cash leaves nothing, which is why the statutes that single out a payment method almost always single out cash, and why a tenant paying in cash should insist on a receipt every month rather than at the end of a dispute.
Make the receipt say which period the payment covers, not just the date it was handed over. 'Rent — June 2026' settles an argument that '$1,850 received on 3 June' does not: a payment made in June could be June's rent, May's arrears, or a part payment of both.
What the landlord keeps it for
The receipt is the tenant's proof, but it is also the landlord's own income record. Publication 527 (opens in a new tab) sets out the rental income and expense records a landlord is expected to keep, and receipts are the income side of that file. Issuing them monthly means the year-end position is already assembled rather than reconstructed.

What should a rent receipt include?
A complete rent receipt shows the date paid, the rental period it covers, the property address, the tenant and landlord names, the amount paid and the payment method. Use the business field for the landlord or property name and a line item for the rent period.
Is a rent receipt a legal document?
A rent receipt is a record of payment and can serve as evidence that rent was paid. In some jurisdictions landlords are required to provide one on request. It is most useful when it accurately reflects a real payment between the named tenant and landlord.
