Acknowledgement Receipt: How to Write One, With Samples

An acknowledgement receipt is a short signed statement in which one person confirms they received money, documents or property from another. It names both people, says exactly what was handed over, the date, and why, and is signed by the person who received it. Unlike a sales receipt, it does not need a sale: it works just as well for a returned laptop, a set of keys or a stack of signed forms.

People use one whenever something changes hands and nobody wants an argument later about whether it did.

When to Use an Acknowledgement Receipt

SituationWhat is acknowledged
Personal loan repaid in cashThe amount and that it settles (or reduces) the debt
Security or booking depositThe deposit amount and what it secures
Employee leaving the companyLaptop, phone, badge and keys returned
Documents submittedWhich documents, how many pages, originals or copies
Keys handed overWhich keys, for which property
Payment in installmentsThis installment and the balance still owed

For an ordinary sale, a cash receipt is the better fit, because it itemizes what was bought and the tax.

What to Include

  1. A title: "Acknowledgement Receipt".
  2. The date it was received, and the place if it matters.
  3. Who received it: full name, and their role if they sign for a company.
  4. Who gave it: full name.
  5. What was received: an amount in figures and words, or a description specific enough to identify the items (model and serial number, document names, number of keys).
  6. Why: the purpose, such as "full repayment of the loan of March 3" or "security deposit for 12 Oak Lane, Unit 2".
  7. Condition, for property: "in working order", "screen cracked".
  8. Signatures: always the receiver; ideally the giver too, and a witness for large cash amounts.

Make two copies and have both signed, so each side keeps an original.

For a rental, our guide to the security deposit receipt covers what landlords usually have to add.

For company property

I, Alex Kim, acknowledge that I have received from Northwind Ltd. one laptop (serial no. C02XK0AAJGH5), one charger and one access badge, in working order, on October 11, 2026, for use during my employment. I will return them on leaving the company.

For documents

Received from Jordan Lee on October 11, 2026: signed lease agreement (original, 6 pages), copy of driver's license, and two recent pay slips. Received by: Sam Patel, Office Manager.

Writing the Amount Twice

For money, write the amount in figures and in words, just as on a check. Figures are easy to alter; words are not. The same reason is behind the "amount in words" line in a receipt book, and our guide to filling out a receipt book explains it field by field.

Is an Acknowledgement Receipt Legally Valid?

A signed acknowledgement receipt is evidence that something was received, and in a dispute it is far stronger than a verbal account. It is not a contract, so it does not by itself set terms such as repayment dates; put those in a separate signed agreement. Whether it is enough for tax purposes depends on your country's rules, so for business income or expenses use the receipt or invoice format your tax authority expects.

Frequently asked questions

What is an acknowledgement receipt?
A short signed statement confirming that one person received money, documents or property from another, with the date and the purpose.
Who signs an acknowledgement receipt?
The person who received the money or items must sign. It is better if the giver signs too, and a witness for large cash amounts.
Is it spelled acknowledgement or acknowledgment?
Both are correct. 'Acknowledgment' is more common in American English and 'acknowledgement' in British English.
What is the difference between an acknowledgement receipt and a sales receipt?
A sales receipt records a sale, with items, prices and tax. An acknowledgement receipt only confirms that something was received, so it also works when nothing was sold.
Can I use an acknowledgement receipt for a cash loan?
Yes, for the repayment. Write the amount in figures and words and say whether it settles the loan or how much is still owed. Put the loan terms themselves in a separate agreement.
Does an acknowledgement receipt need to be notarized?
Usually not. A signature from the person who received it is what matters; notarization is only needed if a specific law or agreement requires it.
Can an acknowledgement receipt be handwritten?
Yes, if it is legible and contains the names, date, what was received, the purpose and a signature.
How do I acknowledge receipt of documents?
List each document by name, say whether it is an original or a copy and how many pages, then date and sign it.
Should both people keep a copy?
Yes. Make two copies, sign both, and each person keeps one.
Is an acknowledgement receipt valid for taxes?
It depends on the country. It proves receipt, but tax authorities often require a specific receipt or invoice format for business income and expenses.
