What's on a bill format

These are the fields a bill format is expected to show — the same ones filled in on the sample above. For a plain-English definition of any receipt field, see the Receipt Field Dictionary.

Supplier name, address and GSTIN
Your business name and address as registered, and your GSTIN, printed at the top.
Bill number and date
A number from one running series for the financial year, and the date of the bill, written day-first.
Customer details
The buyer's name and address, and their GSTIN when they are a registered business that will claim the tax.
Place of supply
The state the supply is made to, with its state code, for example Karnataka (29).
HSN or SAC code
HSN codes classify goods and SAC codes classify services. Print the code next to each item.
Quantity, rate and taxable value
Each item's quantity and rate, and the value before tax, which is what the GST is charged on.
CGST and SGST, or IGST
The tax lines with their rates and amounts. On this sample, 18% is shown as CGST 9% plus SGST 9%.
Total and signature
The amount payable in figures, ideally also in words, and the signature of the supplier or an authorised signatory.

Bill Formats: what to get right

Worked example: how the GST is added up

A computer shop in Bengaluru bills a local business customer at 18% GST:

• Laptop servicing (SAC 998713): 1 × ₹1,500.00 = ₹1,500.00

• SSD 512 GB (HSN 8523): 1 × ₹3,800.00 = ₹3,800.00

• USB keyboard (HSN 8471): 2 × ₹650.00 = ₹1,300.00

Taxable value: ₹6,600.00

• CGST 9%: ₹594.00

• SGST 9%: ₹594.00

Total: ₹6,600.00 + ₹594.00 + ₹594.00 = ₹7,788.00. The template prints the GST as one line labelled with the split, at the combined 18%, so the total matches. The codes and rate here are a sample: GST rates are revised from time to time, so check the current rate and code for each item you bill.

What a GST tax invoice has to show

According to CBIC's guide to tax invoices (opens in a new tab), which restates rule 46 of the CGST Rules, a tax invoice carries the supplier's name, address and GSTIN; a serial number of up to sixteen characters (letters, numbers, hyphens and slashes) that is unique for the financial year; the date; the recipient's name, address and GSTIN if they are registered; the HSN code of goods or the accounting code of services; a description, the quantity and the total and taxable value; the rate and amount of each tax (central tax, State tax, integrated tax or cess); the place of supply with the State name for an inter-State supply; whether tax is payable on reverse charge; and the signature of the supplier or an authorised representative.

The same guide says a business on the composition scheme, or one that supplies only exempt goods or services, issues a bill of supply instead of a tax invoice. For goods, the invoice is made in triplicate, marked Original for Recipient, Duplicate for Transporter and Triplicate for Supplier; for services, in duplicate.

This is a summary of the format, not tax advice. GST rules and rates are amended from time to time, so check the current rules for your business.

Which India template to use

Use this bill for goods and services you sell with GST. A rent receipt for HRA has its own format, with the landlord's PAN and a revenue stamp, in the India rent receipt template. A petrol pump bill, with the nozzle, rate per litre and vehicle number, has its own fuel bill template.
