What you can make with this receipt maker
The receipt maker above starts blank, but you rarely have to. Each template below opens in the same builder with the fields that kind of business actually prints already in place, so you are editing a receipt rather than designing one. Open a template page to see a sample and what it includes.
- Restaurant receipt — table, server, tip and split lines
- Grocery receipt — long item lists, weighed items and savings
- Retail store receipt — SKUs, returns policy and loyalty footer
- Gas station receipt — pump number, gallons and price per gallon
- Taxi receipt — pickup, drop-off, distance and fare
- Hotel receipt — nights, room rate and folio charges
- Sales receipt — a simple record of goods sold
- Itemized receipt — every line with quantity and unit price
- Cash receipt — amount tendered and change given
- Rent receipt — tenant, property, period and amount paid
- Donation receipt — donor, gift and charity details
- Service receipt — labour, parts and job description
There are more in the full template library, including invoices, pro forma invoices and credit notes, and a separate set of brand receipt templates laid out like the receipts well-known chains print.
What every receipt needs
A receipt is proof that a payment happened. Whatever the business, the person holding it should be able to tell who was paid, for what, how much and when. A complete receipt has:
- The seller's name and address, plus a phone number, website or tax ID where one applies.
- The date and time of the sale, and a receipt or transaction number that identifies it.
- An itemized list of what was bought, with quantity and price on each line.
- Subtotal, tax and total, with the tax rate or label (sales tax, VAT, GST) shown separately.
- How it was paid: cash with change given, or a card type with the last four digits.
- A footer with the return policy or a thank-you line, and a barcode or QR code if your system uses one.
Each of those is its own section in the builder, so nothing gets forgotten. The anatomy of a receipt guide goes through each part in detail, and is it legal to make a receipt? covers when a receipt you make yourself is a valid record.
How to make a receipt in 3 steps
1. Pick a starting point
Choose a template that matches the business, or start from the default receipt and change it. Nothing is locked: every template is just a set of sections you can edit, reorder or remove.
2. Fill in the details
Enter the business name, the items and prices, the tax rate and the payment method. Totals are worked out from the line items, so the subtotal, tax and total always add up. Add a barcode, QR code, signature or logo if the receipt needs one, and watch the live preview change as you type.
3. Download it
Create a free account and download the receipt as a PDF, PNG or JPG, or as a print-ready A4 PDF. A free account includes 1 watermark-free download; after that, free downloads carry a watermark and Pro removes it.
Paper styles and sizes
The same receipt can look like a till roll, a clean digital copy or a printed invoice. Change the paper style and width in the builder's settings and the preview redraws straight away.
- Thermal (torn paper)
- The look of a till roll: monospaced type, dashed dividers and a torn edge. This is the style on a free account.
- Clean white
- A flat white sheet with no torn edge, for receipts you send as a file rather than print.
- Invoice
- A document layout with a bill-to block and wider columns, for invoices and service bills.
- Digital / email
- Styled like the receipt an online store emails you after checkout.
Widths come in four presets:
- 58mm: the narrow roll used by card terminals and small printers
- 80mm: the standard width of most shop and restaurant till rolls
- Email: a wider layout that reads well on a screen
- A4: a full page, for invoices and anything you print on an office printer
You can also set a custom width, the spacing between lines and the font. A free account can switch between 3 fonts and uses the thermal style; Pro unlocks all 32 fonts and every paper style. A template's own style always renders as designed.
Receipt vs invoice: which one do you need?
An invoice asks for payment. It is sent before the money changes hands and carries a due date, payment terms and the buyer's details. A receipt confirms payment. It is issued after the customer pays and shows what was paid and how.
A freelancer or contractor usually sends an invoice first, then a receipt once it is settled. A shop or restaurant skips the invoice and hands over a receipt at the till. If you are billing someone, start from the invoice template; if you are recording a payment, use the receipt generator above. Either way, the header's document heading field lets you title the page INVOICE, QUOTE, PURCHASE ORDER or CREDIT MEMO instead of RECEIPT.
Receipt maker FAQ
- Do I need to create an account to make a receipt?
- You can build and preview a receipt instantly with no sign-up. A free account is needed for two things: downloading, and the AI generator. Your first download exports watermark-free in HD, and after that free downloads include a small watermark unless you upgrade to Pro. An account also lets you save receipts to reopen later.
- What file formats can I download my receipt in?
- You can download your receipt in four formats: PDF (sized to the receipt), a print-ready PDF centered on an A4 page for office printers, PNG with a transparent-friendly background, and JPG with a white background. All image exports are rendered at 3x resolution, so they stay sharp when printed, zoomed or attached to expense reports and emails. The PDF is the best choice for expense software and formal records; PNG is ideal when you need to place the receipt into a design, presentation or document.
- Is it legal to make your own receipt?
- Yes — creating a receipt is legal when it documents something real. Legitimate uses include replacing a lost or faded receipt for a purchase that actually happened, issuing receipts to customers as a small business or freelancer without a point-of-sale system, writing rent or cash-payment receipts, keeping personal bookkeeping records, and producing props for film, theatre or design mockups that are never presented as real documents. What makes a receipt illegal is intent to deceive: using a fabricated receipt to claim reimbursement for purchases you never made, inflate business expenses, evade taxes, fake a return or warranty claim, or mislead any person or institution is fraud in every jurisdiction. The document itself is neutral — how you use it is what matters, and you are solely responsible for that use.
- Is my data stored anywhere?
- Not unless you ask for it. The receipt builder runs in your browser, so the details you type — business names, items, prices — stay on your device. Data only reaches our servers if you use the optional AI generator (your short description) or choose to save a receipt to your account.
- Can I add my logo to a receipt?
- Yes. Open the header section and upload an image file as the logo; it appears at the top of the receipt in the live preview. If you have no logo file, type your business name into the big logo text field instead. The image stays in your browser and is not uploaded to our servers.
- How do I set the tax rate?
- Enter a percentage in the tax rate field under the items list and the tax line, subtotal and total recalculate as you type. To label the tax Sales Tax, VAT or GST, or to show two rates, press Add tax line: each tax line has its own label and rate.
- Which currencies can I use?
- The currency menu in the receipt settings has 10: USD, EUR, GBP, CAD, AUD, INR, JPY, AED, SAR, MAD. Changing it reformats every price on the receipt at once.
- How do I download my receipt as a PDF?
- Press Download PDF under the preview. Downloading needs a free account; your first download is watermark-free, later free downloads carry a small watermark, and Pro removes it. Choose Print-ready PDF (A4) instead if you are printing on an office printer.
- Can I make a receipt on my phone?
- Yes. The receipt maker runs in a phone browser with nothing to install. On a small screen, a bar at the bottom switches between editing the fields and previewing the receipt, and the preview shows the running total.
