How to Write a Rent Receipt (+ Free Template)

A rent receipt is written confirmation from a landlord that rent was received. A complete one names the tenant, the property, the rental period being paid, the amount, the payment method and the date received — signed by the landlord or manager. Several states require landlords to provide receipts on request (or automatically for cash), and for tenants paying cash a receipt is the only proof rent was ever paid.

What to include, field by field

  1. Date received — when the money arrived, not the due date.
  2. Tenant name(s) — as on the lease.
  3. Property address — unit number included.
  4. Rental period — "Rent for August 2026," the field that prevents disputes over which month a payment covered.
  5. Amount received — plus, for partial payments, the balance outstanding ("$700 received; $500 balance for August due 8/15").

  8. Late fees, if any — itemized separately from base rent.

Where rent receipts are required by law

Requirements vary by state and city: some states require receipts for any cash payment, others on tenant request, others for specific payment types; several cities add their own rules. Landlord-tenant statutes change, so check your state's — but the operational answer is simpler: issue receipts always. Why landlords should issue receipts unprompted

  • Disputes: "I paid you in cash" arguments are unwinnable without records — for either side.

Digital vs. paper

Email receipts, payment-app confirmations and portal records all function as rent receipts if they carry the fields above — a Zelle memo line saying "August rent, 12 Elm #2" plus the transfer record is decent evidence.
