What's on a fuel bill receipt
These are the fields a fuel bill receipt is expected to show — the same ones filled in on the sample above. For a plain-English definition of any receipt field, see the Receipt Field Dictionary.
- Pump name and address
- The petrol pump and its dealer or company, so the bill can be traced to one station.
- Bill number
- The pump's own sequence number for the transaction.
- Date and time
- When the vehicle was filled, written day-first as Indian bills print it.
- Nozzle
- The nozzle or dispenser number used.
- Product
- Petrol, diesel, or a premium grade, as named at the pump.
- Rate and volume
- The price per litre on the day and the litres filled. Amount equals rate times volume.
- Vehicle number
- The registration number of the vehicle filled. Fleet and company-car records depend on it.
- Payment mode
- Cash, card or UPI.
How to make a fuel bill receipt
- Enter the petrol pump's name and address.
- Set the date and time of the fill-up.
- Enter the nozzle, product, rate per litre, litres and vehicle number from the pump display.
- Check that the amount equals rate times litres, and set the payment mode.
- Download the PDF or PNG and keep it with your fuel records.
Fuel Bill receipts: what to get right
Why a fuel bill has no GST line
Petrol, diesel, aviation turbine fuel, natural gas and crude oil were kept outside GST when it was introduced. They are taxed through central excise duty and state VAT instead, and both are already inside the price per litre shown at the pump. So a petrol pump bill shows the rate, the volume and the amount, and no separate tax line.
Fuel reimbursement needs fuel you bought
Many employers reimburse fuel against monthly bills, and a bill made here can record a real fill-up when the pump did not print one. It cannot stand in for fuel that was never bought. Claiming reimbursement or a tax benefit with bills for fuel you did not buy is a false claim, and employers increasingly check bills against card, UPI and FASTag records. Keep the payment record with every bill.
