How to Write a Deposit or Partial Payment Receipt

A deposit or partial payment receipt documents money received toward a larger total — and must therefore say four things a normal receipt doesn't: the amount received now, the total agreed price, the balance remaining, and when or how that balance is due. Written properly, it prevents the two classic disputes: "I thought that payment covered everything" and "you never said the deposit was non-refundable."

The format

Beyond the standard fields (date, parties, payment method, receipt number — the baseline from how to write a receipt), a partial payment receipt states:

  1. Amount received: "$500.00 received."
  2. Against what total: "toward total of $2,000 for deck construction at 45 Oak Ave per estimate #E-104."
  3. Balance remaining: "Balance: $1,500."
  4. Balance terms: "due on completion" / "due in two payments of $750 on Aug 1 and Sep 1."
  5. Running history, on later receipts: "Payment 2 of 3. Previously received: $500 (7/23, receipt #1041). Total received to date: $1,250."

That fifth element — each receipt carrying the chain — is what makes a payment-plan dispute unwinnable against you: any single receipt reconstructs the whole history.

Deposit receipts: the extra sentence that matters

A deposit isn't just a partial payment — it usually secures something: a date on your calendar, materials ordered, work begun. Say so: "Deposit secures project start date of Aug 4 and covers initial materials order." And state the refund terms plainly: "Refundable until Jul 28; 50% refundable thereafter; non-refundable once materials are ordered." Refund terms belong in the contract first — but repeating them on the receipt puts them in the document the customer actually keeps. Vague deposit receipts are the raw material of small-claims court.

Numbering and the final receipt

Give every payment in the chain its own receipt number in your normal series (numbering rules), cross-referencing the estimate or invoice. When the last payment lands, the final receipt does double duty: "Final payment of $750 received. Total of $2,000 for [project] paid in full." That paid-in-full receipt is the document your customer files, forwards to their insurer, or attaches to a warranty claim years later — make it complete enough to stand alone.

Cash installments: maximum care

Payment plans in cash stack the risk: multiple payments, no bank trail, months between them. Signed receipts both directions (the cash receipt discipline), amounts in words, and the running total on every receipt. If a customer pays twelve cash installments, receipt twelve should read like a ledger.

Who needs this most

Contractors and trades (deposit-progress-final is the industry rhythm), freelancers on milestone billing (freelancer receipt practice), tutors and coaches selling packages, event vendors booking dates, and private-party sellers on layaway-style deals. The pattern is identical everywhere: money now, obligations later, paper connecting them.
